No growth without coffee. In many organizations, the coffee of Tiktak / Segafredo Zanetti is the engine behind successful business activities. For the coffee empire itself, a different way of working is the driver of growth. The company is committed to improving quality and reforming the logistics process.

Process optimization
"In the Netherlands we supply coffee, tea, chocolate milk and the entire peripheral range such as milk, sugar and porcelain to the market segments Food Service and Mass Market. In addition, we export various specialties worldwide to our Segafredo brothers and sisters", says financial manager Gert-Jan Mulder. "Until 2015, our customers in the Food Service segment were supplied by our sales baristas. They visited our customers, supplied coffee and tea and also gave information about the products. Our management wanted to change the distribution process for this segment." When Mulder joined Tiktak / Segafredo in 2014 after twenty years of service with software supplier Unit4, he was immediately able to start optimizing the distribution process within the ERP-application of Unit4. "The sales baristas will certainly visit customers, but now mainly for qualitative visits, for giving training courses, offering support in making a nice cup of coffee, doing quality checks and quality audits and also generating new business. "

Freedom & multi-carrier
Tiktak / Segafredo now supplies 70% of the coffee and tea for the Food Service segment (delivery to the other market segments unchanged) directly from Groningen; the other 30% is still being supplied by the baristas. This has led to an increase in the number of parcel shipments; per day, between 80 and 100+ shipments are dispatched through the Transsmart transport platform, which has been rolled out and connected to Unit4. This concerns several tens of thousands of packages on an annual basis. "We ship with a number of regular carriers. But there could be many more in the future, that option is available thanks to this connection. That gives us a lot of freedom for the future. When selecting carriers, the selection criteria for us now is that they can connect with Transsmart. Those who cannot do that will be at the bottom of the list."

Benefits
Tiktak / Segafredo keeps manual actions to a minimum through digital communication between the carriers and the ERP application. Mulder: "Previously, for deliveries to the Mass Market, we had to look up the customer on the carrier's portal, or enter it manually. The labels were printed from this portal and applied to the parcel shipment. It was all labor-intensive and prone to mistakes. For deliveries to the Food Service segment from Groningen, which is 70%, we did not consider manually submitting shipment data an option, hence Transsmart. But now that we are working with Transsmart, we no longer have to manually register the shipments for the Mass Market either.” With the knowledge and experience Mulder brought from Unit4, the choice for Transsmart was not complicated, because it integrates seamlessly with Unit4's ERP software. "Due to the trouble-free connection to the back office, the logistics employee does not notice the presence of Transsmart; during the cancellation of the warehouse receipt, the carrier label is printed "automatically" without additional actions. We now make fewer mistakes and save time. And our customers can keep track of where the parcel is with track and trace. This gives us the opportunity to proactively inform them about the shipments."

Savings
Whether sending packages via the transport platform also saves money is difficult to say, Mulder believes. "We have chosen a different business model because our sales baristas now focus on quality and new leads instead of transporting packages. We should compare the cost of the transport connection plus shipping costs against the more qualitative visits of the sales baristas. But that is difficult to compare. We now just have different costs than before. What does play a part is that our regional offices, which previously supplied the sales baristas, have to keep less stock. We now have stocks more central in Groningen. It is quite possible that in the region we will eventually move to smaller buildings because we no longer need large warehouses."

Wishes
When it comes to new functionality in the transport software, Mulder still has wishes. "We need to, for example, add loading meters to the software. For pallet shipments, we use carrier Portena, which is a strong carrier in the DC segment. But they also want information about the number of pallets in addition to the regular shipment data, in order to know how many places they have to reserve for us. For pallets that you can stack in terms of weight, you need less space. We now have a PDF connection with them, in which we had to invest a lot of energy together with Transsmart. Now we are working with it and it is going well, but we would like to improve it and take other steps. Such as returns, which is not yet possible with Unit4, deposits on Euro pallets and more analysis options to further optimize."

Adding new functionality is no easy task, the financial manager understands. "Transsmart listens very seriously to our wishes, but is tied hands and feet to the ERP supplier. Everything they want to achieve must be supported. And there are often more wishes than people with a software supplier. That is a difficult area of tension."

Reliable
All in all, Mulder is very satisfied with the delivery management connection. Compared to the earlier method, it is clearly different coffee! "It is an excellent medium between us and the carrier. It works well after a smooth implementation. The disruptions that we have had since 2015 can be counted on one hand, and we are very satisfied with the help desk; with adequate and quick response. Transsmart is a reliable platform, with a lot of knowledge and know-how. The strength lies in that the connection removes the communication burden. As a user you don't have to do much for it, but a lot happens in the background. I can recommend Transsmart to anyone who sends large amounts of parcels. "
